UV Lamp Replacement for Private Water Supplies: When and What to Record

Why replace a lamp before it fails?

UV disinfection depends on the amount of germicidal ultraviolet energy delivered to the water. Lamp output falls with age. DWI says a typical low-pressure UV lamp life is about 10–12 months and that output at the end of that typical life may be around 70% of a new lamp’s output.

The important operational point is that the lamp may still look normal. Visible light does not tell you that the required UV dose is being delivered. Waiting for a lamp to go dark is therefore not a sound maintenance strategy.

A glowing lamp is not a performance testUse the controller information, any UV intensity monitoring provided by the unit, the manufacturer’s maintenance instructions and the wider treatment records. Do not use visible glow as proof that disinfection is adequate.

Use the interval for the actual unit

DWI’s 10–12 month figure is a useful description of typical lamp life, but it is not a blanket instruction to replace every UV lamp on day 365. The correct maintenance interval comes from the manufacturer or competent service provider for the make and model installed.

Some controllers track cumulative run time or display a lamp-life warning. Keep the stated interval and the relevant run-time information with the asset record rather than relying on memory. DWI also notes that intermittent operation and frequent on/off cycling can reduce lamp life, so the way the unit is operated can matter as well as the calendar date.

Before the replacement

A routine lamp change is easier to evidence when the basic information is assembled before the UV unit is opened. Confirm:

  • the UV unit make, model and, where available, serial number;
  • the replacement lamp specified for that unit;
  • the manufacturer’s lamp-change, warm-up and controller-reset instructions;
  • whether sleeve inspection or cleaning is due at the same service;
  • whether the unit has an intensity monitor, lamp-life counter, alarm or automatic shut-off;
  • how the supply will be managed while the UV stage is unavailable.

Do not substitute a physically similar lamp merely because it fits. The UV unit, lamp and controller are a system, and the manufacturer’s specification should be the reference for replacement parts and maintenance.

Safe maintenance boundaries

DWI’s treatment manual says power supplies should be disconnected before servicing and specifically advises that UV lamps are disconnected from the electricity supply and withdrawn carefully. It also warns against exposure to UV irradiation and says care should be taken not to handle the lamp glass.

This guide does not give a universal dismantling sequence because chamber, sleeve, electrical connection and sealing arrangements differ between units. Follow the manufacturer’s procedure. If the instructions are missing, the unit is damaged, electrical isolation is uncertain, the sleeve is seized or the work is beyond your competence, use a competent service technician.

Sleeve condition and water quality

The lamp is only one part of UV performance. Scale and other deposits on the quartz sleeve reduce the amount of UV reaching the water. DWI therefore says sleeves need regular cleaning or replacement and that manufacturer instructions for cleaning and replacement should be followed.

Record what the sleeve actually looked like and what was done. Repeated heavy fouling can be useful evidence that upstream water quality or treatment needs attention rather than simply more frequent lamp changes.

Restart, warm-up and flow

DWI says lamps should be allowed to reach their operating temperature before water is passed through the UV unit. Follow the unit’s own restart procedure and any controller prompts. Where the system is designed to prevent water flow during warm-up, do not defeat that safeguard simply to restore supply sooner.

After the lamp has been fitted, confirm the controller returns to the expected operating state. If the manufacturer requires a lamp-life counter reset, record that it was reset. A replacement lamp does not remove the need to stay within the unit’s design flow or other operating limits because UV dose depends on both intensity and the time the water spends in the reactor.

Alarms, monitors and failsafes

DWI strongly recommends UV intensity monitoring and an alarm or failsafe where practicable. Some units can automatically stop water flow after lamp or power failure, or while intensity is below the required operating condition.

Where those features are fitted, include their status in the maintenance check. Record any alarm displayed before the lamp change, whether it cleared afterwards, any intensity reading available from the unit and any automatic shut-off test required by the manufacturer or service procedure.

What to record

A useful lamp-change record should let another competent person understand exactly what happened months later. Record:

  • UV unit make/model and asset identifier.
  • Date and time of the lamp replacement.
  • Replacement lamp manufacturer or part reference where available.
  • Lamp run hours or controller lamp-life value before reset, where available.
  • Whether the quartz sleeve was inspected, cleaned or replaced and any fouling noted.
  • Alarm, intensity-monitor or automatic shut-off checks completed where fitted.
  • Controller reset and restart/warm-up confirmation where required.
  • Who completed the work and any service report, invoice or photograph retained.
  • Any downtime, bypass condition or contingency arrangement used.
  • Next replacement due date based on the actual manufacturer/service interval.

When a new lamp is not the whole answer

A fresh lamp does not by itself prove effective disinfection. DWI explains that UV performance depends on water quality and flow as well as lamp intensity. Sleeve fouling, poor UV transmittance, excessive flow, power problems or a fault in the UV unit can still undermine performance after a lamp has been changed.

Likewise, a lamp replacement is not a substitute for the supply’s required sampling, risk assessment or response to a known treatment failure. If there has been an outage, alarm, microbiological concern or other event that may have affected water safety, follow the site-specific advice from the local authority or competent water professional.

Plan for downtime or failure

DWI notes that lamp replacement can involve treatment downtime and that some systems use multiple units or treated-water storage to maintain supply during maintenance. The right arrangement is site-specific: it needs to preserve treatment and water quality, not merely keep water flowing.

For a commercial, public or otherwise critical supply, record the contingency before maintenance starts. If there is no safe way to maintain supply while UV is unavailable, plan the shutdown rather than improvising a bypass.

  • Find the manufacturer’s maintenance instructions for the exact UV unit.
  • Confirm the correct replacement lamp and due interval.
  • Record current lamp age/run hours and any alarms before work starts.
  • Isolate electrical power and follow the manufacturer’s safe servicing procedure.
  • Inspect the quartz sleeve and deal with fouling only as instructed for the unit.
  • Fit the specified lamp without contaminating or damaging the lamp glass.
  • Complete the manufacturer’s restart and warm-up sequence before returning water to service.
  • Check controller status, alarms, monitor readings and failsafes where fitted.
  • Record the work, evidence, next due date and any unresolved issue.
  • Escalate persistent alarms, abnormal readings or water-quality concerns instead of assuming the new lamp solved them.

Can I wait until the UV lamp stops glowing?
